ParticipantHello:
So we recently had an event where we used an event ticketing mobile app to scan barcodes on event tickets and with the volume of ticket sales we had plus potential connectivity issues since we are an outdoor event, it get crashing and took WAY to long to process each ticket.
We are needing to find a way to quickly scan tickets at 6 different ticket stations reliably. Can you explain the specifics of what the check-in process / set-up would look like? If we used a QR Scanning app on our phones, how would that connect to the tickets in WordPress to prevent duplicate entries and update lists in real-time? Do ticket scanners need to be connected to WordPress Admin at all or how exactly does that work.
I really appreciate your help! We are gearing up for our next event and would love to get this nailed down ASAP!
Thanks!

MemberHowdy Kevin,
Oh man, connection issues are the worst! And they always seem to happen when you need the internet the most.
The most sure-shot way of avoiding connection issues during an event is to export the list of attendees in advance, print the spreadsheet, and check people in at the door manually as they enter. You can start checking people in electronically (with the QR code on their ticket, or via the WordPress dashboard) but having that spreadsheet as a backup will ensure you are covered no matter what happens.
Can you explain the specifics of what the check-in process / set-up would look like? If we used a QR Scanning app on our phones, how would that connect to the tickets in WordPress to prevent duplicate entries and update lists in real-time?
The process is pretty straightforward and a thorough overview of how attendees are managed can be found right here. It basically boils down to this:
- Each ticket is uniquely identified to a specific event
- Each attendee has a unique ID
- Each ticket has a QR code that is tied to that ticket and attendee
- Once the QR code is scanned (by phone app) it will open up the WordPress admin and check the attendee in
- The status of the attendee moves to Checked In
Scanning the same QR Code multiple times will neither change the status of the attendee nor check that person in multiple times. It will be tied to that specific person for that specific event.
Do ticket scanners need to be connected to WordPress Admin at all or how exactly does that work.
The QR code contains a URL that opens the WordPress admin and checks the attendee in. So, the scanner itself is not actually connected to WordPress at all, but needs to be connected to the internet in order to access the admin via browser.
Does this help answer your questions? Please let me know. 🙂
Cheers,

ParticipantThis is great! Thank you so much for the thorough response.
I do have a couple follow-up questions:
1 – Would the person with the QR scanner app need to have WP login credentials or be logged in to the WP Dashboard in a browser BEFORE scanning the QR code? Just trying to get logistics as with the last solution, you had to login to the backend of WP in order to scan the tickets and I fear that may have caused the disturbances since we had numerous ticket scanners with hundreds of tickets trying to be scanned.
2 – Have users of Event Tickets Plus had issues with the ability to scan QR Codes to scan attendees during high web traffic times? We obviously receive our highest traffic volume during our event and do increase our web server capacity during our event days, but was curious if you had a recommendation on this based on previous use cases.
I think that should cover my questions!!
Thank you so much!

MemberHey Kevin and thanks for following up!
1 – Would the person with the QR scanner app need to have WP login credentials or be logged in to the WP Dashboard in a browser BEFORE scanning the QR code?
Yes, that would be a great idea. Otherwise, the URL will redirect the person to the WordPress login prior to checking in the attendee.
2 – Have users of Event Tickets Plus had issues with the ability to scan QR Codes to scan attendees during high web traffic times?
Good question. I honestly have not heard any reports of issues with scanning during high traffic. I would imagine that would have more to do with the hosting/server of the site than with Event Tickets Plus itself, but I cannot foresee anything directly tied to Event Tickets Plus that would prevent check-ins from happening at a rapid pace from multiple registered WordPress administrators.
I hope this helps answer your questions — of course, if you have any others, let me know and I’d be happy to help. 🙂
