ParticipantI have a bunch of event ticket orders left over from last year (a quilt raffle) that I want to make “go away” so that for this year’s event we don’t have the potential to mistakenly add last year’s tickets to the raffle.
In the Attendees list, how do I “archive” those attendees from last year? We didn’t click the Check In button for them last year and I’m afraid to do so now for fear it will send each attendee an email saying they’re in the raffle LAST year and that they’ll mistakenly think they’re in the raffle THIS year.
I don’t want to delete the attendee data because a) I’m a data pack rat and b) that just doesn’t seem right and c) I’m afraid it will delete the order information and our historical reporting.
What do I do here to prepare for this year’s orders?

ParticipantHey @Rob,
Thanks for reaching out!
This an interesting situation—to be clear, are you trying to use the same event post from last year?
If you create a new event for this year, it will have a fresh and clean Attendees List for just this year, without affecting the Attendees List of the previous year’s event.
If this is not an adequate solution, can you elaborate a bit on why not and why you’re trying to use the same event?
Unfortunately, there is not really any other option than checking-in someone on the List or leaving them un-checked-in. There’s no third possibility at this time. 🙁

ParticipantIf I do check them in, will an email go out to them? If it does, I don’t want that.
Otherwise, I’ll just have to have our accounting people ignore the tickets from last year and remember to make new events for next year.
The sticky part about creating new events is the management of so many annual events over time in the Events listing. To keep them straight I’d need to start naming each event with the year included, which looks awkward on the UI.
There must be some way to re-use annually recurring events without messing up the management end of things.

ParticipantHey @rob,
Thanks for your follow-up!
Folks are not emailed upon being checked-in at an event.
As for your feedback about managing your annual events, I’m sorry to hear the current UI is so tricky to work with. We’re constantly tinkering and improving the UI, so your feedback means a lot—a simple way to “duplicate” events or have “event templates” to simplify the generation and management of similar and oft-occurring events is something we’ve long wanted to implement, and sounds like it could be useful in a situation like this one.
While we don’t have anything on the immediate horizon that will impact the UI much in terms of the things you mention here, I just wanted to acknowledge that this feedback doesn’t fall on deaf ears. One last thing I’ll mention here is that you should consider posting any further feedback or specific ideas on our UserVoice page, where ideas can be “voted up” by other users if they, too, want the same thing. We put ideas from here into our plugins all the time, so feel free to submit ideas there! http://tribe.uservoice.com
Thank you,

ParticipantThanks! I look forward to seeing this functionality implemented. It’s good to know that checking them in won’t send the email because I can now do that without fear of repercussion or confusion. I’ll add this feature request to UserVoice.

ParticipantSounds good @Rob—I’m sorry that some things here aren’t quite ideal yet, but appreciate your feedback and hope the information here is useful enough to keep things going sufficiently for a bit, until eventual improvement….
Best of luck with your project!
