Hi there,
Im just setting up and have a lot of recurring yearly events. Is there a way they can be set so they only show in the year they appear so you don’t get multiple views especially when filtering?

Hi Peter,

Thanks for posting. We recently added a feature that allows you to limit how far in advance recurring event instances are made. Under Events –> Settings, look for the Create recurring events in advance for setting (like this). As a default, the calendar makes instances 24 months in advance, so you’re seeing multiple instances of your yearly events. If you set that to a lower number, like 12, visitors will only be able to see the next upcoming instance of an event. Future instances of the event will then be automatically added to the calendar 12 months in advance. Would that work for you?

Best,

Leah

Hi Leah,

This sounds exactly what is needed. I made the setting for 12 months on “Create recurring events in advance” but the recurring events I have set showing for 2015 still show? Is this because they were already set using 24 months? If so can I remove/hide them using “Clean up recurring events after (12 Months – currently 24)”? And if so will they still recur as set for next year?

Many thanks

Peter

Hi Leah,
OK so I set both options to 12 months and the recurring events that had already been published were not removed or hidden so I deleted them so all I have is events set for the next 12 months.
1. Will the events that were set to recur still publish recurring events after 12 months or do they need to be saved again?
2. Does this mean the next recurring event will only show 12 months from the original published event date? If so this may mean the event only shows just before the event day? Is that correct?
3. With both settings at 12 months will this still keep an archive or will events older than 12 months be deleted?

Many thanks

Peter

Hey Peter,

Glad to hear this will probably work for you.

1. Will the events that were set to recur still publish recurring events after 12 months or do they need to be saved again?

If the original event is still in the system (that is, if it’s not one of the ones you deleted) then yes, the plugin will automatically publish the recurring event based on the schedule you set.

2. Does this mean the next recurring event will only show 12 months from the original published event date? If so this may mean the event only shows just before the event day? Is that correct?

The 12 months is not from the first date- it’s in advance. So if you have an event set to recur every year on June 25th, the 2015 event will be created (and show on your calendar) on June 26, 2014. So each instance will show on your calendar for the 12 months before the actual date of the event. Does that clarify?

3. With both settings at 12 months will this still keep an archive or will events older than 12 months be deleted?

If you have the Clean up recurring events after set to 12 months then those events will be deleted from the system (not archived) 12 months after the event date. The recurring series will still continue, but you won’t have the archive. If you want an archive, you’ll want to set that to a much higher number so that the events stay in the system.

I hope that helps answer your questions. Let me know if I can elaborate or clarify at all.

Cheers,
Leah

Hi Leah,

Mostly clear now. For Point 2. If I want the events to only show a few months before the event then I should reduce it down to say 3 or 4 months so the recurring event only shows a few months before the event?

Hi Peter,

Yes, that’s exactly right 🙂
